Every Westmark project follows a defined sequence — from technical planning and fixed-price proposal through to site execution and documented handover. Each phase has a clear deliverable. Nothing moves forward until the previous step is complete and agreed. Clients receive weekly written progress reports throughout the build, wherever they are.

Phase One

Site Survey

We visit your property to understand the scope and the site conditions. Our team walks every area with you, listens to what you are planning, and assesses what the project will technically involve.

By the end of the survey you will have a clear picture of the scope, the permit requirements that apply, and an honest assessment of what is achievable. If a project is outside our scope, we say so at the survey — not later.

What you receive

A written summary of scope and recommended next steps, delivered within 48 hours of the survey.

Phase Two

Technical Plans & Fixed-Price Proposal

Our engineers produce full technical drawings and detailed specifications for the agreed scope. These plans form the basis of the fixed-price proposal — every cost broken out by line item, with labour, materials and plant listed separately.

You see exactly what you are paying for. If you want to adjust the scope — remove a room, change a material, amend the layout — you can see precisely what that change costs. The proposal is your reference document for the entire build. No lump sums, no hidden contingencies.

What you receive

Full technical drawings, a line-item fixed-price proposal, a payment schedule, and a project timeline — typically within 5–7 working days of the site survey.

Phase Three

Project Set-Up

Once the proposal is accepted and contracts are signed, we move into the set-up phase. Materials are specified and ordered in advance of the start date. Any permits required are in process before the first tool hits the site.

A written programme is issued — a week-by-week timeline of what happens and when. Your single point of contact for the duration of the project is confirmed and introduced.

What you receive

Written programme, contact details, permit confirmation and a confirmed start date — all in place before work begins.

Phase Four

Build Phase

The build runs to the programme agreed at set-up. A dedicated site team handles execution under direct management. If a decision is needed from you — a material substitution, a design adjustment, an unforeseen condition — you are contacted with a clear explanation of the options and the cost implications. You decide. We record it in writing.

The Site Report — Every Week

Throughout the build, you receive a written and photographic progress report on a regular basis, covering:

  • Work completed during the week
  • Programme status — on track, ahead, or delayed with explanation
  • Costs to date versus budget
  • Photographs of progress across all active areas
  • Any decisions required from you in the coming week

Phase Five

Handover

We walk every completed project with the client before handover. Every item in the original scope is checked against the specification. Any outstanding items are resolved before the keys change hands.

Handover includes full documentation — as-built drawings, installation certificates, warranty documents and a maintenance guide covering the materials and systems installed.

What you receive

Final inspection walkthrough, as-built drawings, installation certificates, warranty documentation and a complete maintenance guide.
